How Black Velvet Salon handles the information you give us when you book, and what you can ask us to do with it.

What we collect

Only what running your appointment needs.

What we never see

Card details are entered directly into Stripe's payment form and go straight to Stripe. They never reach our servers and we cannot see or store your full card number.

Cookies and browser storage

We set no advertising cookies and do not track you across other websites.

Text messages

We only text you if you asked us to. The box is never ticked for you, and it cannot be ticked at all until you have entered a mobile number.

Messages are about your appointments and nothing else: a confirmation when you book, a reminder the day before, a note if something is cancelled, and - if you joined the waitlist - a message when a slot you were waiting for comes free. We do not send marketing by text.

Message frequency varies, up to 2 messages per booking. Message and data rates may apply.

Reply STOP to any message to stop them, or HELP for help. Stopping texts does not affect your booking, and you will still get the same information by email.

  • We do not sell your mobile number.
  • Your mobile number and your consent to be texted are never shared with third parties or affiliates for their own marketing or promotional purposes.
  • The only company that sees your number for this is Twilio, which delivers the messages on our behalf and may not use it for anything else.

Who else handles it

Four services, each doing one job:

  • Appwrite, which stores the booking data and runs the accounts.
  • Stripe, which processes card payments and holds the card details we never see.
  • Microsoft 365, which delivers the confirmation and reminder emails.
  • Twilio, which delivers text messages to the people who asked for them.

How long we keep it

Appointment history and stylist notes are kept while you remain a client, because they are what makes your next visit match the last. Payment records are kept as long as tax and accounting rules require.

Ask us to delete your record and we will, apart from anything we are legally required to retain.

Your choices

  • See or correct what we hold - most of it is in your account, and we will send the rest on request.
  • Ask us to delete your record.
  • Stop marketing email at any time, without affecting your booking confirmations.
  • Turn appointment texts on or off whenever you like, in your account or by replying STOP.
  • Booking confirmations, reminders and cancellation notices are not marketing. We send them by email whether or not you have opted in to anything; by text only if you asked for texts.

Security

Access to client records is limited to salon staff, enforced by the system rather than by policy alone: a signed-in client can only ever load their own bookings, and stylist notes are not reachable by clients at all.

Children

Under-16s are welcome in the salon, but the booking should be made by a parent or guardian using their own details.

We will update this page if what we do changes, and move the date at the top. Last updated 5 September 2026.
